Should I outsource mortgage loan processing or hire a processor?

By the Slatehound team · Last updated

Hire a W-2 processor when this month’s pipeline stays above what the desk funds after you cut third-party waits. Outsource the whole file on a volume spike. Published conventional contract processing, read 2026-10-15, sits at $895 to $995 a file.

This is for the processing manager or VP of operations at an independent mortgage bank on Encompass whose locks get extended on an open homeowners-insurance row. Pull this month’s funded count, the mix, the conditions list, and the lock dates before you open a req or send a file.

Outsourcing is a whole-file invoice

Three products share the phrase. They are different jobs.

What people call it What it actually is What you are buying
Hire a processor A W-2 seat on this desk Disclosures through closing, the local agents, the shop’s overlays
Outsource processing A US contract processor, 1099 or a processing company The whole file, priced per file
Offshore processing A BPO seat or vendor floor overseas No US per-file list price on the pages read 2026-10-15. NPPI and licensing still sit on this shop

A contract processor takes the file from initial disclosures through closing. Insurance quotes and binders sit inside that job on Contract Loan Pro’s lists. They are one row among many. An in-house processor who already has the local agent’s email and fax still wins those files. How much a contract processor charges per file is the invoice.

Published conventional prices sit at $895 to $995 a file

The four cards below are disclosures through closing on a conventional or agency file.

Vendor Conventional / agency price What the page says it covers Date read
Contract Loan Pro $895 Conventional, FHA, VA, jumbo: initial disclosures through closing 2026-10-15
Kelly’s Contract Loan Processors $995 Conventional, FHA/VA 2026-10-15
C2C Mortgage Processing $995 Disclosures, underwriting submission, conditions through closing. Paid at closing 2026-10-15
Everyone’s Processing Company $995 Conventional, jumbo, FHA, VA, hard money 2026-10-15

On r/loanoriginators in January 2026, one shop offered a processor switching to 1099 about $400 a file. Commenters called $400 low. Those posts are unverified. The vendor card is the number you can put on an invoice.

A lower printed number buys less of the file. Contract Loan Pro’s Slim File is $600: third-party orders, including insurance quotes and binders, plus closing. UtmostDocs’ Processor Assist is $499 for condition clearing. Ask which column you are buying.

A W-2 processor is a seat priced on this month’s units

The Bureau of Labor Statistics Occupational Outlook Handbook, Financial Clerks (May 2025 wages; page last modified August 27, 2026), lists the median for loan interviewers and clerks at $50,020.

A McGowan Mortgages posting for a remote NEXA branch processor, read 2026-10-15, posted $65,000 to $80,000 and asked for someone “able to manage 20+ active files without dropping deadlines.”

How many loan files a mortgage processor should handle is the caseload. Staff from files that are open today. A seat that funds every month beats a $995 invoice.

The in-house processor wins files that need a local agent

A good processor who already knows the agents in town is worth the seat.

Job Hire a W-2 processor US contract processor
Cost, as published BLS median $50,020; one NEXA-branch job $65,000–$80,000 $895–$995 a conventional file
What it takes off the desk A full seat, 20-plus active files per that job post The whole file, disclosures through closing
Who chases the insurance agent The processor, if they have hours and the local fax Inside the full-file job
Ramp Weeks to hire, overlay training, Encompass habits Days, if the vendor has a desk
When volume drops You still pay the seat You stop sending files

The in-house processor wins stable volume, the shop’s overlays, and the agent list. The contract processor wins a month when originations jump and you do not want a second W-2.

On r/loanoriginators in February 2026, one originator wrote that the big processing companies often take too many files at a time. Unverified. Ask the vendor what pipeline each processor carries before you send volume.

Fannie still holds the seller responsible for outsourced processing

Fannie Mae Selling Guide A3-3-01 (02/07/2024; Selling Guide PDF dated October 7, 2026) defines a third-party origination as any loan that is completely or partially originated, processed, underwritten, packaged, funded, or closed by an entity other than the seller. Sellers remain fully responsible to Fannie Mae for functions that are outsourced to third parties.

A W-2 processor on this payroll is this seller’s employee. A separate processing company is a different entity. Ask compliance how this vendor posts on the next Fannie delivery. This is not legal advice.

12 U.S.C. § 5103(b)(2) says an independent contractor may not engage in residential mortgage loan origination activities as a loan processor or underwriter unless that contractor is a State-licensed loan originator. A supervised W-2 processor is treated under 5103(b)(1). Kelly’s prints NMLS 812701. Everyone’s Processing Company prints NMLS 2030003. C2C prints NMLS 2411922. Ask for the NMLS ID. Get funded-only versus billed-anyway in writing. This is not legal advice.

An open HOI row is the wrong use of a full-file invoice

If the files that are slipping are waiting only on an insurance agent, another processor is the wrong hire for that slice and a $995 full-file invoice is the wrong bill.

How to get homeowners insurance binders faster is the chase. Send the written packet the day the HOI condition opens. How much a mortgage rate lock extension costs is the fee when that wait runs past the lock date. Call the agency’s published business line. Do not autodial borrower cell phones. TCPA and state recording-consent laws apply. This is not legal advice.

Four ways desks actually staff processing

1. Hire the W-2 processor

Right answer when the pipeline stays above what this desk funds after you cut the waits, and you will keep the seat busy through a slow month.

2. Send whole files to a US contract processor

Right answer when originations jump, there is no seat to fill, and every file needs disclosures through closing. Price $895 to $995 against this month’s unit count. Get the product, funded-only versus billed-anyway, and the NMLS ID on the quote.

3. Buy a slim or condition-only package

Right answer when the file is already disclosed and the gap is third parties or condition clearing. Contract Loan Pro Slim File is $600. UtmostDocs Processor Assist is $499.

4. Chase the HOI packet without adding a seat

Right answer when the open files already have a processor and the last prior-to-docs row is the insurance agent. Start from the conditions list the processor already exports. Work the agency until the binder, mortgagee clause, and replacement-cost estimate land, with a timestamped log. We make Slatehound, which does this, so weigh that suggestion accordingly. It does not take the rest of the file, and it does not write into Encompass.

Match the invoice to the files that are actually open

Option Cost, as published Source, date read When it fits
Hire another W-2 processor BLS median $50,020; one NEXA-branch job $65,000–$80,000 BLS May 2025 wages; McGowan Mortgages, 2026-10-15 Pipeline stays above what this desk funds after you cut the waits
Contract processor, conventional full file $895–$995 Contract Loan Pro, Kelly’s, C2C, EPC, 2026-10-15 Volume spike, or no seat to fill. Whole file
Slim or condition-only package $499–$600 UtmostDocs $499; Contract Loan Pro Slim $600, 2026-10-15 File already disclosed. Conditions and third parties only
Leave an HOI wait on the desk Lock-extension fee on that file Lock-desk policy; see the lock-extension guide The binder is the last open PTD and the lock is still live

Offshore BPO pages read 2026-10-15 do not print a US per-file list price.

Split this week’s pipeline before you open a req

Open Encompass and sort this week’s files three ways: no processor assigned, assigned and still needing disclosures through closing, and last open PTD is a third party. Put last month’s funded count next to that list.

A W-2 req is the next step when the first two piles stay full after you close the waits. A vendor quote is the next step when the first pile is a spike you will not keep. Put the product, funded-only versus billed-anyway, and the NMLS ID on that quote. When the third pile is the one slipping, send the written HOI packet today, using the agent’s email, the loan number, and the lock date already on the file.

Frequently asked questions

Does a contract processor take the whole file or just one condition?

The whole file on the $895 to $995 cards. Contract Loan Pro's conventional card, read 2026-10-15, is initial disclosures through closing. UtmostDocs' $499 Processor Assist is condition clearing: VOE, VOM, EOI, CPL, HOI, payoff. Ask which column you are buying.

How much does a W-2 mortgage processor cost next to per-file processing?

The BLS May 2025 median for loan interviewers and clerks is $50,020. A McGowan Mortgages NEXA-branch job, read 2026-10-15, posted $65,000 to $80,000 and 20-plus active files. Published conventional contract processing is $895 to $995 a file. Price both on this month's unit count.

Does Fannie Mae treat outsourced processing as a third-party origination?

Selling Guide A3-3-01 (02/07/2024; Guide PDF dated October 7, 2026) says a third-party origination is any loan completely or partially originated, processed, underwritten, packaged, funded, or closed by an entity other than the seller. Sellers remain fully responsible. Ask compliance how this vendor posts. This is not legal advice.

Do independent contract processors have to be NMLS licensed?

12 U.S.C. § 5103(b)(2) says an independent contractor may not engage in residential mortgage loan origination activities as a loan processor or underwriter unless that contractor is a State-licensed loan originator. W-2 processors under a licensed shop are treated under 5103(b)(1). Ask for the NMLS ID. This is not legal advice.

Is offshore mortgage processing the same product as a US contract processor?

No. A US contract processor publishes a per-file price and, on the $895 to $995 cards, prints an NMLS ID. Offshore BPO pages read 2026-10-15 do not print a US per-file list price. NPPI, 5103, and Fannie A3-3-01 still apply. Ask compliance. This is not legal advice.
